Booking terms
These are the terms that govern a booking made directly with Belvoir Hotel on this website or by telephone. Please read them before you book — they form part of the contract with us, along with the details shown in your confirmation.
1. Who you are contracting with
Your booking is with Belvoir Hotel, 1 Grantham Road, Whatton-in-the-Vale, Nottinghamshire, NG13 9EU. Any reference to “we”, “us” or “our” means the hotel.
2. When your booking is confirmed
A booking becomes binding when we send you a confirmation that shows the dates, the room, the total price and what is included. We send that to the email address on your booking, so please check it and tell us straight away if something is wrong. If we cannot confirm your request, we will say so and take no payment.
A booking made through a third-party website is a separate contract with that company on its terms. These terms apply to bookings made directly with us.
The availability, rates and prices shown on this website are not an offer capable of acceptance. Your booking is not made until we confirm it, under section 2, and we may correct a price or availability error at any point before that confirmation is sent.
3. Your right to cancel
Because a hotel stay is tied to specific dates, you do not have the usual 14-day right to cancel a booking made online. UK law removes that right where the service is accommodation supplied for a specific date, and the terms in section 4 govern cancellation instead. They are shown here in full before you pay, so you can see exactly what applies.
4. Cancelling or changing your booking
These are the cancellation terms quoted on every direct rate. Cancellation is free up to 7 days before arrival.
- You can cancel free of charge up to 7 days before arrival.
- If you cancel within 7 days of arrival, the first night is charged, because we cannot re-sell a room that close to the date.
- If you do not arrive and do not tell us, the first night is charged.
- Changes to dates are free up to 7 days before arrival. Within 7 days we treat a change as a cancellation and a new booking.
To cancel or change a booking, use the manage-booking link in your confirmation email, or call us on 0116 507 5404 or email info@belvoirhotelnotts.co.uk. A cancellation is only effective once we have confirmed it. Cancellations by email or telephone are free of charge.
5. Deposits and payment
No deposit is taken for a direct booking. We pre-authorise your card for the first night at check-in as standard practice.
A refundable card pre-authorisation is not a charge and is released when you check out.
We accept the major UK and international cards. Payment is taken by our payment provider; card details are not stored on this website. At check-in we pre-authorise your card for incidental spend. The amount depends on your booking and is released at check-out.
Any pre-authorisation is a hold on your card, not a payment. You are never charged for anything at check-in without telling you first and getting your agreement.
6. Prices and what is included
Rates shown on this website are per room per night and include breakfast unless the rate says otherwise.
Prices include VAT at the prevailing rate. Where a price is shown excluding VAT, it is labelled as such. The total shown at the point of booking is the total you pay for the stay as booked. We do not add charges afterwards for the same stay.
The price you see is the total you pay for the stay. Anything optional that you can choose not to take — parking, breakfast, drinks from the bar, and any extra bedding — is not in that figure, and we will always tell you the cost before you choose it. If you want to know what something costs before you arrive, ask when you book and we will price it in.
The one amount that may be taken from your card at check-in is a refundable pre-authorisation for incidental spend. It is a hold, not a charge, it is released when you check out, and it is never kept as a charge against you. UK consumer law does not treat a refundable pre-authorisation as part of the price you were quoted.
If a price is shown as “from” it is an indicative rate for the room type shown, not a guarantee that that rate is available on your dates. The rate we quote for your own dates is the one that applies. Where we advertise a “from” rate we will not base it on an out-of-season night to promote a peak break, or a midweek night to promote a weekend one.
7. Arrival, departure and late arrival
- Check-in from 3:00pm
- Check-out by 11:00am
- Reception is staffed 7:00am to 11:00pm each day
If you expect to arrive after 11:00pm, tell us in advance so we can arrange access. Rooms are held for 30 minutes after the published check-in time if you have told us you are delayed.
8. Who can stay, and in the room
- Children are welcome. Cots and extra bedding are free; please tell us at booking so we can prepare the room.
- Infants under 2 years are free to stay.
- Occupancy — the number of people sleeping in a room must not exceed the maximum shown for that room when you book. We can refuse a booking that would exceed it.
- Pets are not permitted, with the exception of registered assistance dogs, which are welcome throughout.
- The hotel is a smoke-free building. Smoking in any room means the room cannot be re-let and the full stay plus a deep-clean charge becomes payable.
9. Accessibility
Step-free access to the entrance, reception, restaurant and ground-floor rooms. Upper-floor rooms and the lift are not step-free. Tell us what you need before you book and we will confirm honestly what we can accommodate.
If you need something and we cannot provide it, we would rather say so before you book than let you arrive and find out.
10. If we cannot give you the room you booked
Occasionally a room becomes unavailable — through a fault in the building, a system error, or a booking we have to correct. If that happens we will find you equivalent accommodation of the same standard, at the same price or lower, and pay the difference. We will also cover a reasonable taxi to get there. We will tell you as early as we can and apologise. There is no fixed cap on what we will pay to put this right, because the point is that you end up looked after.
11. Your conduct in the hotel
You are responsible for the behaviour of everyone staying in your room and under your booking. Please use the rooms as intended, do not cause nuisance or damage, and do not behave in a way that disturbs other guests or our staff. If you damage the hotel or another guest’s property, you are responsible for putting it right.
We may ask you to leave, and may refuse to re-book, where behaviour threatens the safety of guests or staff, involves abuse, or causes serious disturbance. Where that happens we will explain why, and any charge already properly taken stands.
12. If we have to cancel your booking
In the unlikely event we have to cancel your stay — for example because of a fire, flood or structural problem making the hotel uninhabitable, or a closure ordered by an authority — we will tell you as quickly as we can, refund everything you have paid in full, and bear the cost of getting you home. Where the closure is not our fault, you keep any right to compensation the law gives you, and we will not rely on this section to reduce it.
13. Force majeure
Neither of us is liable for failure to meet our obligations caused by events outside either party’s reasonable control. We will always try to tell you promptly and to put your booking right. This clause does not limit your statutory rights, and we will not use it to avoid refunding money you are owed.
14. Insurance and your belongings
We hold public liability insurance. We cannot accept liability for loss of or damage to personal property beyond the limit permitted by law, so please bring valuables you cannot replace. We are not responsible for loss of cash, jewellery, phones or documents unless we have accepted them for safekeeping. Please use the room safe where one is provided.
15. Complaints
If something has gone wrong, tell us straight away — in your room, at reception, or afterwards on 0116 507 5404 or info@belvoirhotelnotts.co.uk. We acknowledge your complaint within 30 days and deal with it without undue delay. Where a complaint is about a stay, please tell us before you leave, as it becomes far harder to put right afterwards.
16. Which law applies
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. This does not affect your right to bring an action in the courts of your own country if you live elsewhere, or any mandatory protection a court of your country gives you. If you are a consumer, this clause does not remove that protection.
